What is an RMA?

RMA generally means Return Merchandise Authorization or Return Material Authorization, depending on the organization. It is a formal authorization allowing a customer to return a product or material within a defined process.

The RMA number becomes the identifier for the case: request → RMA authorization → return shipment → receipt → inspection → decision → repair, replacement, credit, or scrap → closure. An RMA is therefore more than a shipping label: it connects the returned item with logistical, technical, and financial decisions.

Microsoft Dynamics 365 documents an RMA as a return order linked to a possible replacement order. The principle remains useful with another ERP: the return object must remain traceable through final resolution.

What is the difference between a return, RMA, warranty, and complaint?

Complaint: the customer reports a problem. Warranty: is the problem covered financially or contractually? RMA: should the product return, where should it go, and what happens on arrival? Commercial return: the product returns because of an order error, surplus, or exchange that is not necessarily a defect.

A process may follow complaint → warranty accepted → RMA → physical return → inspection → repair, or commercial return → RMA → intact product → restock. Warranty and RMA can be connected without becoming the same business object.

Does the product always need to be physically returned?

No. Some cases can result in credit only, meaning the customer receives a credit without a physical return, when product value, return shipping cost, or available evidence justify it. A low-value part may be credited from photo evidence, while a serialized machine may need to return for inspection.

Low-value product + return shipping cost above its value + sufficient evidence → credit without return. A high-value asset or a product requiring quality analysis may instead require receipt, quarantine, and inspection.

The software should allow the economically and technically relevant flow to be chosen rather than always requiring physical return shipping.

What information is needed before authorizing an RMA?

The record can include the customer, order, invoice, product, quantity, serial number, batch, delivery date, reason, fault description, photos or videos, error codes, possible warranty, pickup address, contact, and requested resolution.

The system can retrieve known information from the ERP or CRM and ask the customer only for missing elements. The goal is to avoid a parcel reaching the warehouse without context or ownership.

How should serial numbers and batches be managed?

In an industrial return, the SKU, or commercial item reference, is often insufficient. Two identical assets may have different customers, configurations, repair histories, or warranties. The model should represent the product, batch, serialized unit, and unit-specific history.

RMA-2026-00418 → Controller X400 → unit X400-19821: repair → unit X400-19845: replacement → unit X400-20004: no fault found. One RMA can therefore contain several units with different decisions.

Why separate return reason from disposition?

The return reason describes why the customer sends the product back: wrong product, damage, failure, incorrect quantity, or order error. The disposition describes the decision after receipt and inspection: restock, repair, replacement, vendor return, scrap, or return to customer.

This separation avoids confusing “the customer says it is defective” with “inspection confirms an electronic failure”. Dynamics 365 explicitly documents the distinction between reason codes and disposition codes.

Which dispositions should be available after inspection?

| Disposition | Follow-up | |---|---| | Return to stock | Put a compliant product back in inventory | | Repair | Repair and return to customer | | Rework | Modify or correct before reuse | | Refurbish | Recondition the product | | Replace | Ship a new unit | | Return to vendor | Send it back to the supplier | | Scrap | Dispose of the product | | Return to customer | Reject or send the unit back |

Names, inventory rules, and financial consequences should remain configurable. Dynamics 365 documents repair, rework, refurbish, vendor return, exchange, credit, and scrap actions.

Why quarantine returned products?

A returned product should not automatically become available for sale. On receipt, the flow can be: scan RMA → quarantine → inspection → disposition → inventory, repair, scrap, or vendor.

Quarantine protects inventory from a potentially defective, incomplete, contaminated, or non-conforming product. Inventory status and workflow should change with the inspection decision, not merely when the parcel arrives.

How should an unannounced return be handled?

A customer may send a parcel without prior authorization. The system should support: parcel received → no RMA found → quarantine → identify customer and product → create or match a case.

An unannounced return should not automatically create a credit. The product identity, reason, order, and financial decision must be confirmed first. Dynamics 365 documents warehouse processes for unannounced returns.

How should return labels and transport be managed?

After authorization, the system can produce the RMA number, return address, carrier, label, QR or barcode, packaging instructions, and deadline. Transport can connect to a carrier API, TMS, or logistics platform.

Tracking should keep a readable timeline: AUTHORIZED → LABEL GENERATED → IN TRANSIT → DELIVERED → RECEIVED. The timeline should remain linked to the RMA line, not only to the parcel number.

What are GTIN, serial number, and SSCC used for?

GTIN, Global Trade Item Number: identifies a product type. Serial number: identifies one specific unit. SSCC, Serial Shipping Container Code: identifies a logistic unit such as a parcel or pallet.

A B2B return can contain RMA-2026-419 → product GTIN → unit serial number → parcel SSCC. These identifiers serve different purposes: an SSCC identifies the logistic container, not the RMA or necessarily the product inside it. GS1 distinguishes GTIN, GTIN + serial, and SSCC.

How can a warehouse receive returns quickly?

The receiver should scan the RMA, QR code, SSCC, or serial number to immediately see the expected return, customer, items, quantity, required inspection, destination, and status.

The system should handle partial receipt: expected: 3 → received: 2. The case remains open until the remaining units are processed, without falsely marking the return complete.

How should each returned product be inspected?

An inspection can record cosmetic condition, function, transport damage, confirmed fault, accessories, serial number, photos, diagnosis, technician, date, and proposed disposition.

It should distinguish what the customer reported from what the technician observed. SAP Customer Returns Processing connects receipt, product inspection, logistical follow-up, and possible credit or replacement.

DOA, NFF, BER, and RTV: which codes should be used?

DOA, Dead On Arrival: product considered defective on delivery or first use under the organization’s rules. NFF, No Fault Found: reported fault not reproduced or confirmed. BER, Beyond Economic Repair: repair exceeds the defined economic threshold. RTV, Return To Vendor: product or component returned to the supplier.

These codes should be defined by the organization and remain configurable. They are not universal regulatory statuses; they structure analysis, decisions, and reporting.

How should a No Fault Found case be handled?

A customer may report “the equipment stops randomly” while the test bench reproduces no fault. The case should not simply be closed as NFF: it can retain test conditions, firmware, configuration, cycle count, collected data, and previous history.

The same serial number returning several times for the same symptom without a reproduced fault may reveal an intermittent issue or a customer-environment issue. NFF does not automatically mean the customer was wrong.

How should an advanced replacement be managed?

Advanced replacement or cross-ship sends a replacement before the original unit is received: RMA accepted → replacement order → new unit shipped → old unit expected.

The system should monitor the expected unit and return deadline, for example after 30 days. It can trigger a reminder, charge, or contractual action without losing the link to the original RMA.

How should repairs be managed?

When the disposition is Repair, the RMA can create a repair order: diagnosis → parts → labor → final test → return to customer. The case can record the technician, parts used, time spent, installed firmware, and tests performed.

SAP documents return and repair processes that connect receipt, technical inspection, and corrective action. A custom solution can follow the same principle without duplicating inventory or maintenance management already handled by the ERP or CMMS.

How should an out-of-warranty repair be handled?

An RMA may concern a product outside warranty. The flow becomes: inspection → repairable → quotation → customer accepts? → yes: repair; no: return or scrap according to the agreement.

Warranty and RMA remain different objects: warranty determines coverage, while RMA orchestrates the return and physical actions. An out-of-warranty request can therefore stay in the same process with a separate financial decision.

How should a return to the supplier be handled?

When the fault comes from a purchased component, the flow can become: customer RMA → inspection → supplier defect → RTV or supplier RMA → supplier return → supplier credit or replacement.

This chain makes it possible to calculate supplier recovery, meaning what the manufacturer actually recovers from suppliers. SAP documents supplier returns, parts-to-be-returned processes, and claims connected with quality and procurement.

What is reverse logistics in an RMA process?

Reverse logistics describes the flows that move products from customers back to a warehouse, workshop, manufacturer, supplier, or recycler. It includes collection, transport, receipt, sorting, repair, refurbishment, redistribution, and recycling.

The RMA is often the authorization and orchestration layer for reverse logistics. It does not necessarily replace the WMS, TMS, or ERP; it connects their events to a return decision that teams can understand.

What happens after repair or refurbishment?

REPAIRED → return to the same customer REFURBISHED → refurbished inventory AS NEW → inventory under quality rules SCRAP → destruction or appropriate channel RTV → supplier

A repaired, new, refurbished, or non-conforming unit should not share the same inventory status. The disposition result should update location, quality status, history, and, when needed, warranty or serial-number data.

How should product returns be distinguished from waste?

A returned product is not automatically waste. It may still be repaired, reused, refurbished, resold, or returned to the supplier. The system should therefore distinguish product return, scrap, and waste treatment.

When disposal or recycling becomes the final disposition, applicable rules depend on the product and context. The RMA should retain the decision and treatment evidence without pretending to replace specialized environmental or regulatory processes.

2026 update: does the right to repair change RMA workflows?

For certain consumer products covered by EU law, Directive 2024/1799 applies from 31 July 2026 after national implementation. It strengthens consumers’ ability to request repair of technically repairable goods and provides, in some cases, at least a twelve-month extension of the legal guarantee when repair is chosen instead of replacement.

This can increase the need for manufacturers concerned to track return received → repairable product → parts available → repair → date → return to customer. It concerns the consumer framework and covered products; it is not a general rule for all B2B returns.

How can AI assist an RMA process?

AI can help extract a serial number from a photo, classify a reason, summarize exchanges, detect a likely duplicate, match similar failures, suggest a fault code, or find a diagnostic procedure.

It should not make important reimbursement, responsibility, destruction, warranty rejection, or safety decisions on its own. Assistance should remain traceable and the final decision should belong to an authorized role.

Why structure return causes?

Free-text reasons such as “does not work”, “machine problem”, or “dead” are difficult to analyze. It is better to separate customer reason → symptom → confirmed fault → possible root cause → disposition.

Customer reason: does not start. Confirmed fault: failed 24 V power supply. Cause: series X capacitor. Disposition: repair.

This structure progressively turns RMA records into product-quality data without confusing the customer report with the technical diagnosis.

How can RMAs reveal a product issue?

You can compare model, serial number, batch, supplier, component, firmware, manufacturing date, time to failure, symptom, and confirmed fault. A higher return rate for units made between April and June can trigger quality analysis, CAPA, supplier review, or a technical campaign.

The return is no longer only a logistics cost. It becomes field information connected to quality, design, suppliers, and maintenance decisions.

Which KPIs should RMA management track?

RMA rate: RMAs compared with units shipped. Cycle time: request through final resolution. Aging: RMAs open for more than 7, 30, or 60 days. No Fault Found rate: units with no reproduced fault. Repair rate: units actually repaired. Scrap rate: units scrapped. Cost per RMA: transport, handling, parts, labor, and compensation. Supplier recovery: amounts recovered from suppliers.

Metrics should be analyzed by product, model, serial, batch, supplier, reason, and fault. A global total often hides the product families or partners actually creating the cost.

How should RMA connect to the information system?

CRM: customer and contacts. ERP: order, invoice, credit, item, and inventory. WMS: receipt, location, quarantine, and movements. TMS or carriers: label and tracking. Warranty Management: coverage. QMS: fault, nonconformity, and CAPA. Field Service or CMMS: diagnosis and repair. RMA: return and disposition orchestration.

The principle is to avoid duplicating sources of truth. The RMA should retain matching identifiers and return-specific decisions, while each existing system remains responsible for its own data.

SAP, Dynamics 365, or custom RMA software?

SAP S/4HANA 2025 FPS01 documents Customer Returns Processing with return orders, receipt, product inspection, logistics follow-up, reverse logistics, credits, replacements, and customer-to-supplier scenarios. Microsoft Dynamics 365 documents RMA numbers, return and replacement orders, reason codes, disposition codes, quarantine, mobile receiving, and unannounced returns.

Standard capabilities should therefore be assessed honestly before development. Custom software becomes relevant when several ERPs must be orchestrated, the product is highly specific, diagnosis is complex, a particular partner portal is needed, several repair depots must cooperate, or supplier recovery follows unusual rules.

A fit-gap, meaning a comparison between actual standard coverage and the need, should precede the decision.

How much does B2B RMA software cost?

Cost depends on return types, serialized products, customer or distributor portal, carriers, warehouses, inspection, repair workshop, WMS, ERP, warranty, supplier RMA, analytics, and historical-data migration.

A portal that generates an RMA number and label is very different from a platform orchestrating customers → carriers → warehouses → workshop → suppliers → finance. Scoping should separate the first workflow, integrations, and ongoing operations rather than publish an artificial average.

How would Koragence structure an RMA project?

Scoping starts with a sample of real returns: accepted, rejected, repaired, exchanged, supplier-returned, and no-fault-found cases. The goal is to reconstruct the decisions actually made and the systems used at each step.

We then separate the customer’s stated reason, the condition observed at receipt, and the final disposition. Sources of truth are identified: order in the ERP, location in the WMS, coverage in warranty management, and quality fault in the QMS.

Existing returns → authorization rules → RMA model → reverse logistics → receipt → inspection → dispositions → integrations → testing → migration → deployment. The first workflow can be tested on one product range or depot before expanding the scope.
