What should an equipment model contain?

The model can start with stable attributes: category, manufacturer, reference, serial number, purchase date, site, zone, owner, and criticality. It can then include assignments, movements, statuses, documents, checks, events, and links to systems that remain responsible for specific data.

This structure avoids isolated records and contradictory copies. An asset can have several owners throughout its life, but each change should be dated, explained, and connected to an identifiable decision or operation.

QR codes, NFC, and field identification

A QR code or NFC tag can open the correct equipment record, location, documents, assignments, and recent checks. The system should still verify the person, context, and permissions before allowing a sensitive change.

Field identification is not automatic proof of presence or compliance. It becomes useful when it reduces ambiguity, records who performed the action, and makes the register easier to update reliably.

Assignments, locations, and movements

The software can preserve an equipment trail: site, building, zone, team, responsible person, departure date, return date, and reason for movement. This history matters when assets are shared, loaned, transferred between sites, or entrusted to a provider.

The model should distinguish physical location, responsible team, and current user. These three concepts can change independently and should not be collapsed into one status field.

Documents, checks, and deadlines

An asset can be linked to a manual, certificate, proof of purchase, authorization, photo, internal check, or release decision. The system should retain version, scope, date, author, and required approval.

Deadlines can trigger a review request, but they should not be confused with preventive maintenance or calibration. The link to the CMMS or metrology system should remain explicit.

How does it connect to a CMMS?

The equipment register can provide the CMMS with identity, site, zone, and characteristics needed for a work order. The CMMS remains responsible for work orders, maintenance work, maintenance plans, and technical service history.

Custom software should not copy the whole CMMS. It should show the right context, transmit useful identifiers, and let each system manage the objects it owns best.

How does it connect to monitoring and metrology?

Monitoring can produce real-time alerts and states, while equipment management software keeps the record, context, assignments, and decision history. This separation prevents a register from becoming an alert dashboard or real-time data from becoming an incomplete business history.

Metrology covers instruments, certificates, intervals, and measurement results. The register can connect this information to the right asset without pretending to replace the metrology system.

How should status and lifecycle be managed?

Statuses should describe a useful situation: available, assigned, in transit, under check, held, loaned, reserved, or retired. The list is not universal because it depends on the decisions teams actually make.

The lifecycle can connect acquisition, receipt, commissioning, transfer, check, retirement, and archiving. Each transition should be explainable with an actor, date, and evidence supporting the decision.

Custom development or standard software?

Standard software can work when the register, assignment workflows, and integrations already meet the need without workarounds. Custom development becomes relevant when the fleet involves specific rules, several sites, existing systems, or ownership that the standard represents poorly.
